What Makes The Model Work.

An outsourced function succeeds or fails on how it is structured. Five things define this one.

We work inside the client’s systems, not alongside them.

We operate in their HR platform, records storage and staff intranet, from an email address on their domain. Access is what distinguishes a function from a vendor. Without it, an outside partner can recommend work but cannot complete it.

People matters route to us, and we coordinate outward across the benefits broker, the payroll administrator and the plan providers. Leadership asks one question and receives one answer, with a single party accountable for the whole.

Annual cycles, renewals, filing deadlines and required employee notices are ours to track and to start. A well-run compliance calendar is close to invisible, and that is the standard we hold it to.

We track submissions, review them against the prior year, draft individual response letters for the officer’s signature, and file the completed record. The client receives a finished cycle rather than a project to manage.

POLICY

Employer policy drafted, reviewed and released properly.

Policies are written to the organization’s own template and routed through counsel and the relevant plan administrators before anything reaches staff. A policy that has not been reviewed is a liability with a cover page.

BENEFITS

Coordination across every party that touches coverage.

We work across the benefits broker, the enrollment platform and the organization’s administrative services partner. Required notices reach staff, enrollment is supported, and employees have a direct route for the questions they actually have.

RECORDS

Personnel files that downstream systems can rely on.

File administration in the HR platform, migration of records out of legacy storage, and periodic audits of employee information. Benefits and payroll both read from this data, so accuracy here protects everything downstream.

LEAVE ADMINISTRATION

Leave run as a tracked process from eligibility to return.

Eligibility, elections, coordination with payroll on accruals, and return-to-work sequencing. Leave carries real financial consequence for an employee, which is why it is administered as a defined process rather than case by case.

EMPLOYEE REQUESTS

Verifications and training compliance answered directly.

Employment and income verifications come to us and are answered on the requester’s timeline, not ours. Required state training is tracked to completion, including approved extensions.

None of this is unusual work on its own. What is unusual is that a single partner holds all of it. When these responsibilities are distributed across several parties, exposure tends to collect in the handoffs between them rather than inside any one area. Consolidating the function puts one accountable party in front of the entire surface.

Process can be taught. Judgment is the reason to retain a senior consultant, and it is what the advisory stage of this engagement consists of.

Evaluating what you are being sold.

When this client considered moving to a professional employer arrangement, we ran the comparison rather than the brochures. Not a feature checklist, but an assessment against what the organization actually needs: whether existing coverage would carry across intact, how retirement contributions would be handled, what the service model looks like once the sales team steps away, and whether a provider’s nonprofit experience is substantive or a line on a website. We also look at what a sales process does not volunteer, because that is usually what matters after signature.

Policy work is where employment law meets operating reality. A policy that is legally sound but operationally impractical will not be followed, and an unfollowed policy carries more risk than no policy, because it sets a standard on paper that daily practice does not match.
